| Overview

A new user role—Primary & Secondary Billing Admin—has been introduced in the Subscription Management module of the 75F platform. This role is designed to streamline and secure the management of subscription plans, billing operations, and payment-related activities across customer accounts or assigned sites.

Billing Admins are responsible for overseeing subscription lifecycle tasks, including reviewing active plans, updating subscription tiers, managing renewals, and handling payment configurations. By assigning a Primary and an optional Secondary Billing Admin, organisations can ensure redundancy, uninterrupted billing oversight, and clear accountability in subscription management.

This enhancement provides improved governance, role-based access control, and operational efficiency for customers who manage multiple sites or complex subscription structures.

| Functionality

What the Billing Admins Can Do?

Users with the Billing Admin role can:

  • View and manage subscription details for their organisation or site.

  • Upgrade subscriptions to the Facilisight Standard or Facilisight Standard+ tiers.

  • Give primary managers access to advanced features for their site.

| Accessing the Role

To access the Billing Admin Role

Go to the Facilisight Home Screen.

  • Open the User Management section.

Select the Billing Admin option to manage subscriptions and billing features.

Note: All primary facility managers are auto-assigned to the primary billing admin roles.

| Adding a Billing Admin User

To add a Billing Admin user.

  • Click Add User +

The Add user window displays as shown below.

  • Enter the required details.
  • Select the user type as Billing Admin

Note: The primary facility Manager billing admin can add secondary billing admins to any site.

  • Click Add to confirm the billing admin addition.

The user-created successfully message displays and the billing admin is added as shown below.

With the introduction on secondary billing admin, the users are tagged accordingly as per their role, as shown below.

| Billing Admin Access

Once a primary billing admin is added to a site.

The billing admin receives the following email, through which the user can access and manage their responsibilities.

  • Click View on Facilisight to access the role.

 

The first user login screen displays and prompts for an OTP sent to the user email.

  • Copy the OTP from the email
  • Enter the OTP and click verify to access the role.

 

  • Enter a password to access and click signup for completion.

The home screen for the billing admin access is displayed.

  • Click User Management from the screen.
  • Click Add+ to add more billing admin users as shown below.

Note: The added billing admin can add billing admins as below.

| Deleting A Billing Admin

To delete a billing admin user.

  • Click the Delete icon from the user management screen.

A warning and confirmation window displays as follows.

  • Click Confirm to delete the billing admin.

The user deleted successfully message displays, as below.

And the billing admin user gets deleted as shown below.

As only a billing admin user, the user can only access the subscription details and not any other part of the system, as shown below.

The billing admin user has access to just user management and subscription details part of the system.

| Impact

Once a user is assigned as a Billing Admin:

  • They gain the ability to manage paid feature subscriptions.

  • Site-level primary managers automatically gain access to all advanced functionalities associated with the upgraded subscription tier.
