The Special Schedules and Vacations bulk application improves management of Special Schedules and Vacations at both the Organisation (Org) level and the Zone level

It also introduces enhanced 

  • Search capability

  • Sorting and pagination

  • Validation rules

  • Different permissions for FAC App and Occupant App

| Accessing the Bulk Scheduling for Special Events & Vacations

The special event and vacation bulk scheduling can be accessed from the Shared Schedule Option just like the recurring schedules.

From the shared schedule screen, the user can now search for special events and vacations using the search option, as shown below.

Behavior

  • When the user enters a search term, the system filters results across applicable entities.

  • Matching results are displayed immediately.

  • When the search input is cleared, the system displays all schedules again.

| Create Special Event

Click Create Special Event to create a new Special Event

The special event creation window displays.

  • Enter a name for the special event.

Name Validation Rules

Rule Description
Special characters Not allowed
Allowed characters Hyphen (-), comma (,), and space
Name length No limit enforced

Although no explicit limit exists, typical user inputs are expected to be ~35–40 characters.

  • Set the desired temperature using the slider.

  • Select the start and end time for the event from the drop-down.
  • Select the applicable dates for the event using the calendar.

Time Validation

Existing validations remain unchanged:

  • End time cannot be earlier than Start time

  • If violated, the user receives a validation error.

 

  • Select the required user limits and deadbands for the event from the drop-down.

  • Click Save to confirm the event.

The special event was created, and the message displays successfully as below.

The event is displayed under the list of special events.

| Edit Delete Special Event

  • Click the Edit or Delete icons to further edit or delete the special events 

| Bulk Applying Special Event

To apply a special event to the zones.

  • Click the special event created.
  • Click Apply Zones to this Special Event

The add zones window displays.

  • Select the build type

Builder

The Builder build type lets the user select the scope, system and tags.

  • Select the scope.

The scope enables the selection of buildings within the organisation.

Note: As a facility manager, the user can bulk apply the special events to only the zones the user has access to. 

  • Select the System.

The system enables the selection of CCUs within the building.

  • Search & Select the Tags.

The system enables tag-based filtering for zones within CCUs.

  • Click Apply to confirm the application.

The special event is bulk applied to the zones that were selected, as shown below.

Users can select or deselect zones based on requirements.
  • Selected Zones: Displayed with a faded orange highlight, indicating active selection.
  • Deselected Zones: Displayed with no highlight, indicating they are not selected.
Note: Always verify the selected zones before applying bulk special events to ensure changes are applied only to the intended zones.
Note: L1 users cannot edit or delete scheduled Special Events when two or more scope sites are selected simultaneously.

Expired Special Events

An event that has passed its scheduled date is considered expired and is no longer active in the system. For such events, the Modify Associated Zones option is disabled. The user can only perform Edit or Delete actions, ensuring that previously applied configurations remain unchanged.
User can edit and update a Special Event as required.
The system automatically updates the selected dates to the corresponding dates in the following year.

Note: Expired Special Events are automatically removed from the list after 1 year and 1 month.

| Create Vacation Schedule.

To create a vacation schedule at the organisation level.

  • Click Create Vacation from the Shared schedule screen.

Vacation creation window displays.

  • Enter the vacation name.
  • Select the dates for the vacation.
  • Click Save to confirm the vacation creation.

The vacation gets created as shown below.

| Edit Delete Vacation

  • Click the Edit or Delete icons to further edit or delete the vacations

| Bulk Applying Vacation

To apply a vacation to the zones.

  • Click the vacation created.
  • Click Apply Zones to this Vacation.

Then add zones window displays.

To bulk apply vacations, follow the steps provided in the section | Bulk Applying Special Event

Note: Access to Vacations created by another user is limited. Users can Modify Associated Zones and add their Site Scope only. Edit and Delete actions for the existing Vacations are not permitted. An orange notification message is displayed at the bottom of the Vacation section to clearly indicate this access limitation.

Expired Special Events

| Vacation Scheduling

Vacation schedules can be created at two levels:

| Organisation-Level Vacation

When a vacation is created at the Org level:

  • It applies across zones.

  • It is displayed with a Shared icon.

Org-level schedules cannot be modified from the zone interface.

| Zone-Level Vacation

When created at the Zone level:

The special event or vacation is editable deletable, and will not have the shared icon.

| Occupant App Behaviour

Occupant App users have Zone-level access only.
